The Role

We are seeking an Operations & Supply Chain Assistant to support our leadership team for a minimum of 6 months. This role begins as a mandatory Internship (Pflichtpraktikum) position for the first 3 months (paid with stipend), with the prospect of transitioning into a paid Internship (Freiwilliges Praktikum) from month 4. You will work directly with our CEO, COO, and CCO to manage the complex logistics, purchasing, and administrative tasks that keep our production line running and our technology moving to customers worldwide. This position is ideal for someone who wants to understand the inner workings of a high-tech hardware startup and take real ownership of supply chain and office operations.

Responsibilities:

Logistics & Customs:
- Coordinate the shipping of samples and heavy machinery to global customers.
- Interface with and manage external shipping partners, insurance providers, and customs brokerages.
- Navigate German customs requirements and export documentation to ensure on-time, safe deliveries.

Purchasing & Supply Chain:
- Manage the procurement process: requesting quotes, following up on orders, and resolving problems with suppliers.
- Reconcile purchase orders and address incorrect or missing invoices.

Quality & Compliance: 
- Support leadership in maintaining Quality Management (QM) Systems and interfacing with certifying bodies and external testing laboratories to schedule tests, track progress, and collect technical reports.
- Maintain a centralized library of Material Safety Data Sheets (MSDS) and compliance certificates from raw material suppliers.
- Monitor supply chain compliance and maintain necessary documentation.

Revenue & Office Operations:
- Support the COO in monitoring payments, checking invoices, and reconciling records in our internal systems.
- Assist in gathering and organizing documentation required for research grant reporting and technical audits.
- Facilitate office management: liaising with the landlord, Hausmeister, and utility providers.
- Manage office-related services (cleaning, internet, mobile lines) and subscriptions.
- Support internal HR reporting for payroll (tracking mobility budgets, vacation, and sick leave records).

You Are:

  • Currently enrolled and working towards a M.Sc. or B.Sc. in Business Administration, Industrial Engineering (Wirtschaftsingenieurwesen), Logistics, or a similar field
  • Native-level or C2 German speaker. This is a strict requirement for interfacing with German authorities, the Zollamt (Customs), and local service providers.
  • Fluent in English (our primary office language).
  • Already officially registered (Angemeldet) in Berlin and legally able to work in Germany. This is a strict requirement.
  • Highly detail-oriented with a keen interest in Quality Management (QM), supply chain compliance, or regulatory documentation. You're looking forward to a technical audit.
  • A chaser who can proactively unblock issues from providers and authorities until a problem is solved.
  • A confident communicator who is comfortable picking up the phone to resolve a customs snag or negotiate with a supplier. Previous work experience in an office, retail, or service environment is a strong plus.
  • Capable of handling sensitive financial and company documents with high professional standards and confidentiality.
  • Comfortable in a lean, fast-paced environment where you often have to help build the process while executing it.
